Congratulations on booking an RV trip with Dave’s RVs!
Unfortunately, “The Powers That Be” (Insurance companies, Rental platforms, and State Law) require a Legal Rental Agreement. These terms and conditions apply to Pickups and Deliveries of RVs owned and/or operated by Dave’s RVs LLC, 225 Maynard Ave, Grand Rapids Michigan. Phone: 616-799-7368. This Agreement language is considered binding when the renter signs a physical or online copy of these Rental Terms and Conditions.
RENTAL DEFINITIONS:
-
- RV: An RV is either a driveable Class A, B, or C driveable motorhome, or a towable camper or trailer. “RV” may also apply to a driveable vehicle such as a Jeep or quad. Most rentals are where the Renter picks up the RV at our shop. We also deliver some trailers to the Christian Reformed Conference Grounds, where collision insurance does not apply.
- Renter’s RV Description: is not detailed in this Agreement. See the specific rental RV details described by an RV Name and VIN in the associated reservation.
- Renter or “You”: the person who created the reservation and signed this rental agreement.
- We: Daves RVs LLC, Owners, and Staff.
- Rental period: The time between the Reservation Start date & time and the End date & time shown in the Renters Reservation. Also applies whenever the renter has possession of the RV between delivery and retrieval of the RV.
- Reservation Deposit: Typically ½ the full rental cost paid in advance at the time of reservation.
- Verified Driver: a trip participant who is at least 25 years old and has completed the Driver Verification process in advance of pickup. Verified Drivers must have a valid US or International license. Verified Drivers can be added or invited by the renter or Daves RVs by sending them an email link to fill out a form.

INSURANCE for RVs towed or driven by the renter:
You must purchase insurance through Dave’s RVs designated third-party insurance companies, or provide written proof of RV coverage from your Auto Insurance Agent. By default, we use Outdoorsy’s “Roamly” insurance, which the renter pays at a daily rate. Outdoorsy’s policy is an “Excess Policy,” which means that in some cases, they may require the Renter to report a claim to your insurance to determine any coordination of benefits with them.
The Renter accepts the condition of the unit “AS IS” upon pickup/orientation. We take Departure and Return photos (available to you) to document if any damage occurred during the rental period as required by insurance companies.
The insurance deductible amount (for each accident) or repairs for damage not covered by insurance will be charged to the Renter’s security deposit. Please note that damage to the awning can easily happen from rain, gusts of wind, or improper stowage of the awning. Any damages or loss caused by the renter will be deducted from the security deposit.
- Outdoorsy insurance includes glass damage for repairable chips and cracks at no extra charge. Damage requiring a windshield replacement will be subject to a deductible that depends on the cost of the replacement.
- Outdoorsy’s default (“Basic” or “Essential” level) insurance does not cover damage of the RV while parked. The Renter can select optional Interior Damage Protection, which provides coverage for accidental damages to the RV interior while it’s parked during a renter’s trip (similar to “Comprehensive” coverage). We highly recommend (and in some cases will require) this option for RVs delivered by Dave’s RVs.
- Outdoorsy’s default (“Basic” or “Essential” level) insurance does not include Roadside Assistance.
Renter can add Roadside Assistance for just $10/night, provided by Coachnet (1-877-978-7222). This is a required add-on for all motorhome trips greater than 25 miles. Renter is liable for any towing or roadside assistance changes if they do not include this option. - You may “Opt Out” of ALL the Outdoorsy Insurance (and fees) by providing proof of coverage for a rented RV from your personal auto insurance agent. We can email you a detailed desscription for you to forward to your agent which they need to provide coverage.
- See www.DavesRVs.com/insurance for more information.

ACCIDENTS for RVs towed or driven by the renter:
If an accident results in injury or significant damage (that may result in an insurance claim) to a third-party vehicle or property, the Renter must notify the Police, who may file a report, either in person or over the phone. The Renter must provide the police report to Dave’s RVs for insurance purposes. The Renter agrees to fully cooperate with any claims or investigations resulting from accidents or damages during the rental period.
Steps to take in case of a 3rd party accident where there is significant damage to either vehicle that may require an insurance claim:
- Do not admit fault.
- Take photos of: a) any damage, b) other driver’s license, registration, and proof of insurance.
- Record the accident date, time, and location.
- Get a copy of (or link to) Police report, if available.
- Let us know what happened ASAP.
- The Renter must cooperate with any accident and insurance investigation, i.e. forward any follow-up claims, communications, pleading, or any notices related to an accident.
If an accident involves Dave’s RV only (ie – you bump a tree, guardrail, etc) the Renter will determine if the RV is still driveable or if Roadside assistance is needed. If the RV is still drive-able and functional, continue on your trip, but let Dave know that repairs will be needed.

CANCELLATION POLICY: 50% refund of Reservation Deposit up to 14 days before pickup, then no refund after that.
CALL us as soon as you know you have to cancel; In certain extenuating circumstances, we may refund more if you give months of advanced notice (no guarantees). NO REFUNDS will be given for reservation no-shows, early return of the RV, interruptions due to inclement weather, or acts of God.
CLEANING: The interior and exterior of the camper will be clean when you get it. Please return the RV in the condition you found it. We may charge an hourly cleaning fee if excessive cleaning is required upon return. There is an optional fee if we have to dump the black or grey waste tanks upon return.
COLD WEATHER USAGE: We normally fill the fresh water tank unless freezing conditions are imminent.
In winter, the RV will be winterized (you will be notified) so you might not be able to have running water until you reach a warmer climate. However, you may flush the toilet with jugs of antifreeze (which we provide), and you can bring along jugs of drinking water. If you must have running water in the winter, we will charge a Winterization Fee.
COMPARABLE UNIT REPLACEMENT: If your reserved RV is damaged or unavailable before your departure, We reserve the right to provide a similar or better unit for no extra fee. (This is very uncommon.)
[initial|req|signer1]
DEPARTURE and RETURN: The Renter or another Verified Driver must attend the Departure Orientation which takes about an hour. We take pictures of the RV at departure and return to document any existing or new damage.
The Renter agrees to arrive within 15 minutes of the pre-arranged pickup time. Text Dave if you are running late. We may charge a late fee of up to $50/hr unless we are notified in advance. We try to be flexible for the renter’s needs based on staff and RV availability. In return, we ask that you be flexible if we need to change orientation time due to unforeseen circumstances.
We rent out RVs by the night just like hotels. If we have a same-day turnaround on your RV, we must have the RV returned by 11 am to clean it. You can purchase an early pickup or late return option to guarantee an early pickup or late return. However, we allow late-evening returns on Sundays. RV returns are unsupervised – we will tell you where to park the RV and leave the keys.
[initial|req|signer1]
DRIVER REQUIREMENTS AND PASSENGER CONDUCT: All RV drivers must be at least 25 years of age and have a valid State or International Drivers license. Drivers must go through the “Verified Driver” process. The Renter may submit or invite additional Verified Drivers via a link provided by Dave’s RVs in ADVANCE of the rental date. The Renter must be present on the rental trip and is solely responsible for damage and conduct of guests during the rental period. The driver and passengers will be seated and using seatbelts while the rental is in motion. All states require minors to be seat-belted. Renter is responsible for providing and installing a legal child-seat for infants & pre-schoolers per Michigan law. No one is allowed on the roof except to inspect or prevent possible damage. No one is allowed to ride in a towed RV.
DRIVER PROVIDED by Dave’s RVs: In the rare cases where Dave’s RVs provides a driver for any part of the rental period, the Renter listed on this Rental Agreement remains the responsible party and holds the Driver and Dave’s RVs harmless (not responsible) from any accidents, damage or injury that may occur.

DRIVING TIPS: Towing trailers or driving Class A, B, or C RVs do not require a special driver’s license. However, RVs handle differently than a car and require more caution and expertise to operate safely. More clearance is needed on all sides to operate safely.
- Large Class C and Class A RVs and vehicles towing large trailers should follow posted TRUCK speed limits.
- Spotters should assist the driver in backing up the RV.
- In Michigan, it is illegal for a driver to hold a cell phone, or to use a cell phone other than using basic navigation on a phone mounted in a cellphone holder on the dashboard.
- A “co-pilot riding shotgun” should assist the driver with navigation and other distractions such as radio and cell phone use.

ELECTRICAL SYSTEM REQUIREMENTS: If you book a campsite with electrical “shore power”, Dave’s RVs require a 30 amp (120 Volt) service. All motorhomes have an on-board generator. So while shore power is desired, it is optional if you don’t need to run the A/C or furnace for long periods. The renter must ensure their campsite meets their electrical needs. Running the RV’s Air Conditioner on a standard household 15 amp outlet may cause damage to the A/C, trip the breakers, or damage the house outlet. Also, the RV batteries must be periodically charged to power almost everything onboard, like the carbon monoxide and propane detector. Charging the camper battery can be done by either a) plugging into shore power, b) running the RV engine or c) running the motorhome generator.
FESTIVALS: Pre-approval for the ELECTRIC FOREST Festival is required. The Internal Damage Option must be selected.
Burning Man (NV) and Lake of Fire (MI) festivals are prohibited.
FUEL AND PROPANE: Driveable motorhomes will depart with a full tank of gas or diesel and renters are expected to return it with a full tank. We will charge a $25 service fee plus the cost of gas if needed.
Refilling the propane tank is NOT required. The Renter will be charged based on the propane gallons used. (Typically only a gallon or two).
KEYS: Primary & spare keys will be given upon possession of the camper. If you are a delivery customer and are not present during delivery, we will notify you where the keys are. Lost keys will result in a replacement charge.
MILEAGE FEE: By default, 100 miles x days_rented is included in the rental fee. Additional miles above are charged at $0.35 per mile for any excess miles traveled. Estimated excess mileage can be paid at booking time.
[initial|req|signer1]
NO SMOKING or STRONG ODORS: Smoking, hookah, or recreational drugs are NOT allowed. Dave’s RVs are smoke-free and we take this responsibility seriously. An odor removal fee may be assessed to pay for professional cleaning if a unit is returned with any strong odors.
PERSONAL ITEMS: Dave’s RVs is not responsible for any articles or personal property left in the rental or premises and will apply appropriate shipping and handling fees to return items. Unclaimed items of value will be held in Lost and Found for at least 30 days before donated to charity or disposed of.
PET POLICY: Pets must be pre-approved for a fee (per pet). The Renter must select the Pet Fee option at checkout. Pet fur, odors, and allergens require more cleaning and sanitizing of the RV. Any evidence of unapproved pets will result in a charge for the Pet Fee. Any damage caused by pets will result in additional charges if you have not selected the “Interior Damage” option.
RENTAL ADD-ONs (racks, grills, etc…): We include various camping equipment for your enjoyment. If anything is returned damaged, the Renter will be charged to repair or replace the add-on item. We are not responsible for any damage to Renter’s personal items from the use of a rental add-on (such as damage to a bicycle from renting Dave’s bike racks).
RETURN OF RV IN WORKING ORDER: The Renter must make every effort to return the RV to Dave’s RVs in driveable condition by the agreed-upon return time. In the case of damage or repairs needed on the road, the renter will stay with the RV and notify Dave of any delays due to repair. Dave will work with the Renter to determine a reasonable course of action to get you “on the road again” as soon as possible.
If we determine the rental is at risk of abandonment, theft, damage, renter neglect, or loss of communication, Daves RVs has the right (but not the obligation) to recover the RV at any time. The Renter may be liable for costs associated with such recovery including (but not limited to): employee wages, travel costs, fuel, and repairs.
RV GEOGRAPHICAL LIMITS: RV must stay within the continental USA or Canada.
RV may only be used on public roadways with sufficient width and clearance to allow the rental to be operated safely. The RV may not be operated “off-road”, other than well-groomed, tree-trimmed roads that would provide easy access to a local tow truck operator.
[initial|req|signer1]
SECURITY DEPOSIT: Any damage to the RV or insurance deductible is the responsibility of the Renter and will be deducted from the Security Deposit. We will release the Security deposit within 7 days of return if the RV is returned with no damage. Typically this is just a “release” of the temporary “hold” that was placed on the renter’s card the week before departure. You will not typically see either the “hold” or “release” on your statement unless there are actual charges.
“STUFF HAPPENS” AND WE TRY TO HELP! We inspect and repair all “convenience features” such as A/C, heat, awning, microwave, TV, etc between rentals, but they can malfunction during the rental. You agree to contact Dave to help troubleshoot as problems arise. It is possible that minor inconveniences can’t be fixed until the RV is returned. We will try to get issues addressed while the rental is underway, however, no monetary compensation will be made for convenience feature issues.
For serious issues (such as breakdowns or flat tires), call Coachnet Roadside Assistance (1-877-978-7222) and give them the temporary Membership Number that was emailed to you. Dave will determine to either call a mobile tech, or recommend where to drive for service.
TIRE DAMAGE: RV tires are inspected before each rental by Dave’s RVs. The Renter shall visually inspect tires daily for proper pressure and damage. If a tire looks low, measure the tire pressure and compare it to the required pressure printed on the driver’s door-jamb. A pressure gauge is located in the driver’s door pocket. Damaged tires must be repaired or replaced with the same or better tire size & category (I.e. LT=”Light Truck” for Class C RVs.) If the renter caused the tire damage (I.e. by driving too long on a low tire), the renter is financially responsible for tire replacement and other damage due to a blow-out or improper inflation.
[initial|req|signer1]
TOLL ROADS: Toll charges are the responsibility of the Renter. Please try to use the “Cash” lane, or “pay as you go” online. Dave’s RVs reserves the right to charge a SERVICE FEE of $25 + the cost of toll charges we receive during your rental. Toll tickets are often billed weeks or months after the RV’s return. The same policy will be enforced with Speeding Tickets.
TOWING behind a motorhome is not allowed per our insurance policy. The Renter will assume all liability and responsibility for any damages to the RV or towed vehicle or other 3rd party vehicles or property.
TRAILER Renters should have some prior experience towing trailers. The Renter must have a proper tow vehicle and trailer brake controller capable of pulling the size trailer (up to 8,000 lbs) Dave’s RVs will provide the proper tow hitch for each trailer. We have the right to inspect the renter’s vehicle before departure and may cancel the reservation if the Renter’s vehicle is not adequate. Dave’s RV is not liable if the renter tows an RV beyond the capability of their vehicle.
VEHICLES PARKED AT DAVE’S RVS. For your convenience, we allow Renter’s vehicle(s) to be parked in designated areas during your trip. The Renter is solely responsible for damage or theft of any vehicle parked on Dave’s RVs parking lot.
WHAT WE SUPPLY: We will supply the Rental unit with kitchen supplies, septic tabs, toilet paper, patio mat, and camp chairs. Let us know if you need anything else. See www.DavesRVs.com/FAQs for more information.
LIABILITY WAIVER: The Renter assumes full responsibility for any damage, loss, or injury caused by the operation or use of the RV during the rental period. Dave’s RVs is not liable for any accidents, injuries, property damage, or loss sustained by the Renter, passengers, or third parties, whether caused by negligence, reckless driving, road conditions, or any other cause. The Renter acknowledges that they have been provided with full instructions on how to operate the RV safely and agrees to adhere to all traffic laws, regulations, and safety guidelines.
DISCLAIMERS:
The Renter accepts rental “as is” with all faults and without reservation. Dave’s RVs and/or the RV owner does not warrant and expressly disclaim any and all warranties on the rental including, but not limited to, the rental or tire condition, suitability, or fitness of the rental or tires for any particular purpose.
Dave’s RVs and/or the RV owner shall not be liable for any direct, indirect, incidental, special, reliance, punitive or consequential damages or from any lost or imputed profits or revenues or costs arising from or related to the rental regardless of the legal theory under which liability is asserted and regardless of whether Daves RVs or the RV owner has been advised of the possibility of any such liability, loss or damage.
Renters exclusive remedy for any and all claims of damage related to use of the rental shall be limited to the total rent paid or payable by Renter to Dave’s RVs under this agreement. By execution of this agreement, renter further releases and holds harmless Dave’s RVs and RV owner from any and all claims for damages and consequential damages incurred by renter and any other occupant of the rental including, but not limited to: damages for personal injury or death, costs for replacement RV, fuel, telephone, travel, meals, lodging costs, loss of personal property, loss of revenue, or for any other direct, incidental or consequential loss or damage of any kind that renter or any occupant of the rental may incur.
Renter further hereby agrees to indemnify, save, and forever hold harmless Dave’s RVs and rental owner from any and all liability, claims, or causes of action of any kind or character whatsoever, and by whoever asserted, arising from or in any way growing out of the operation or use of the rental under this agreement and agrees, in such event, to provide a defense therefore as chosen and directed by Dave’s RVs and to pay any expenses in the defense of any such claim or lawsuit.
This agreement includes, but is not limited to, claims of negligence or gross negligence on the part of Dave’s RVs and/or the RV owner. Renter understands and agrees that as part of the consideration of Daves RVs renting the RV to renter, renter does hereby assign to Daves RVs any cause of action judgment or settlement as the renter may have against any person, firm or corporation, including but not limited to Dave’s RVs and/or the RV owner, to secure satisfaction and discharge of any judgment over and against Daves RVs and/or the RV owner for actual, consequential and/or punitive damages, and/or claims for indemnity and/or contribution, statutory, contractual or otherwise.
PARTNERING AND DISPUTES: This Agreement does not create any partnership between the Renter, Dave’s RVS, or possible Consignment RV Owner. This Agreement may not be canceled or changed without approval from Dave’s RVs. This Agreement must be signed by the Renter. This Agreement is not assignable by the Renter. The Renter agrees that if there are any disputes or claims related to the use of the RV, these disputes will be resolved in the same County where Dave’s RVs is located. This Agreement will follow any applicable laws in the State of Michigan. If Dave’s RVs prevails in a suit that arises to enforce this Agreement, the Renter agrees that Dave’s RVS is entitled to recover all costs and attorney’s fees incurred in that action. Warranties, Releases, Indemnification, and Assignment Renter acknowledge that Dave’s RVs may provide a Consignment RV owned by a 3rd party.
